How to improve the onboarding process?
We all have had a first day at a job. Sometimes, it can be a positive one and encourages you to give the best of you. Other times, it leaves you wondering whether you choose the right job offer. The first day reveals a lot from the organization: the way it manages its internal processes and the way it treats its employees. In that sense, there is no better way to integrate correctly your new employees than a good onboarding process.Â
Do you want to know how to improve the onboarding process in your business? At Talent2Win we have an extensive experience in Human Resources management, so we know what it takes to provide a good process. In this article we show you the steps necessary to improve the onboarding process in your organization.Â
The employee onboarding processÂ
We can say that the onboarding is the integration process each new employee must receive when entering a company. This process familiarizes the newcomer with the responsibilities of the position, the work style, the rules and the coworkers. This way, you create the perfect scenario for the person to adapt quickly and become a productive member of the company without much delay.Â
How to make onboarding more efficient?Â
There is no such a thing as a magic formula for creating a good onboarding process since each company is different. Additionally, it is advisable to modify the process for each position. However, there are some actions that can help you get the best results out of this process. Let’s take a look at them.Â
1. Make sure to provide an effective preboardingÂ
To begin with, it’s important considering that there is a previous step to onboarding called pre-onboarding o just preboarding. This must happen right after the employment relationship begins and it includes all actions that must be taken before the first day at the job. For instance, in this stage companies usually send a welcome email to new employees.Â
There is also the increasingly healthy habit of sending a welcome package for new employees, which provides some company-related souvenirs. This is a great action when it comes to employee satisfaction. The company can even show this through its social media, which is really helpful in terms of employer branding. After all, who wouldn’t want to start in a new job with a gift?Â
Preboarding is also the perfect moment to send all the papers the new employee will have to sign initially. If you conduct the signing of these documents in a virtual way, everyone will have a more agile first day. Finally, to have a more organized first day, it’s best to send the schedule the employee will have during that day.Â
2. Create a mentoring programÂ
Have you heard about mentoring programs? Through these programs, you assign a member of the organization who will be responsible for training and assisting the new employee during the first days at the company. The mentor will be the person who the newcomer can go to when doubts arise concerning the position or the company. Also, the mentor explains the responsibilities and show the way of doing things in the position.  Â
For this reason, it’s better is the person selected for this role is someone inside the same team. Additionally, this role also helps new people in the organization to start forming bonds with coworkers. In that sense, the mentor is the link that promotes the integration of the newcomer with the company. This is why it’s important to select carefully the person in this role. The mentor must be someone with good communication skills, capable of teaching other people, patient and with a friendly personality.Â
3. Use an ATS for onboardingÂ
You probably have heard that ATS systems can help in the recruitment process. However, not everyone is aware that these systems can also help you with the onboarding process. When they have just entered the company, new employees usually have a ton of questions regarding the organization and the way it works. You can solve some of the most common questions with a good ATS system.Â
With the help of these systems, you can provide documents explaining the inner working of the organization, its internal structure, the people working in each area and in each team, etc. This way, you already have an information repository available for all new employees. That speeds up the process of familiarizing with the organization.Â
If you were wondering how to enhance onboarding experience, these actions will help you. Keep in mind this process demands a lot of attention and constant improvement. Your employees’ quick integration to the company depends on it.Â
